1. Preferred vendors – helpful or limiting?
Some venues come with a curated list of vendors. If you’re new to the area, this can be a lifesaver. But if you have trusted partners, restrictions could slow you down. Ask whether you’ll have direct contact with preferred vendors or if all communication goes through the venue—it can make a huge difference in timing and flexibility.
2. Timing and sound restrictions
Many venues limit amplified sound or alcohol service after a certain hour. If you’re planning a late-night reception or DJ set, knowing these details upfront will save headaches (and last-minute compromises).
3. Conflicts and external factors
Ask what else is happening on-site or nearby during your event. From concurrent events to construction or city festivals, these external factors can affect traffic flow, noise levels, and overall guest experience.
4. Emergency preparedness
You’ll want to know where first aid kits and AEDs are located and how the venue handles emergencies—from power outages to medical incidents. Aligning your staff and venue team on protocols ensures the event runs smoothly, no matter what surprises arise.
5. Security guidelines

8. Power and technical needs
Don’t overlook electricity. Whether for phones, laptops, AV equipment, or outdoor setups, knowing power availability and output is critical. It can save on costly generators and avoid technical hiccups during the event.
9. Bathroom capacity and amenities
Restrooms can make or break guest comfort. Check quantities, gender inclusivity, family or nursing facilities, and any disparities that may affect your audience.
10. Preferred communication methods
Finally, ask how the venue prefers to communicate. Efficient info-sharing—whether via email, spreadsheets, or text—keeps planning seamless and ensures everyone stays on the same page.
