We know the drill. You’re juggling three programs, inbox pinging like a microwave, and now your client just greenlit that big sales meeting in a city they haven’t picked yet, for a date that’s “flexible” (read: tomorrow). And right on cue, the RFP hits our inbox.

We’ve been in this industry long enough to know that perfect timelines are unicorns. But we’ve also been in it long enough to know that the difference between a program that sings and one that screeches often comes down to one thing: time.

So, let’s talk about what happens when you do get to plan ahead and why it makes all the difference (without making you sound like the planning police).

First, a word on burnout (because we’ve been there too)

Planning large-scale events is exhilarating. It’s also exhausting. The late nights, the pressure, the juggling of “just one more revision” on top of hotel attrition math and a three-tab spreadsheet of dietary restrictions. None of it is for the faint of heart.

We’ve built this company with people who’ve lived that life. Many of us bring 20+ years of industry experience, with backgrounds spanning hotels, catering, venues, vendors, and client teams. We spend time in the spaces — walking sites, tracing guest flow, flagging constraints, and pressure-testing plans long before show day. And when it’s go time, we’ve caught mistakes with literal minutes to spare.

We’ve also learned that giving yourself, and your vendors, breathing room in the planning process isn’t just good project management. It’s self-preservation.

So what is the ideal planning timeline?

We’re flexible. You won’t find us throwing shade if things come in late. We’re pros. But if you want your pick of vendors, if you want to avoid those “this hotel is perfect but booked” heartbreaks, and if you want your event to feel seamless instead of stitched together, this is what good looks like:

6+ months out

  • RFP lands (the earlier the better)
  • Kick-off call to align on goals, vibe, must-haves
  • Preliminary proposal sent
  • LOE agreement signed with deposit

Why it matters: This window gives us time to get creative before the best vendors and venues are scooped up. We don’t do cookie-cutter. Every RFP drives a custom proposal, tailored pricing, and ideas built specifically for your program. Starting early gives us the runway to walk spaces with you, explore off-property options, and begin essential logistics like transportation planning, vehicle holds, and specialty requirements — so nothing is rushed or assumed.

3 months out

  • Revisions to the proposal (we know they’re coming)
  • Final contract for signature and deposits paid
  • Vendors confirmed once contract is signed
  • Add-ons can still be woven in thoughtfully

Why it matters: Contracts and deposits unlock vendor holds. Want that legendary mariachi band or that rooftop with sunset views? This is when we snag them. This is also when permits may be filed for beach activities, street closures, or other public spaces. With the foundation set, we can finalize attendee communication plans — what guests need to know on arrival, what to pack, and how to prepare — and place gifting orders with enough runway for production and delivery.

6 weeks out

  • Transportation manifest begins to take shape
  • Menus selected (yes, people will remember the food)
  • Special accommodations made

Why it matters: This is when we’re securing accessible transportation, mother’s rooms, assistive hearing technologies, and finalizing menus and special accommodations. It’s also when support staffing is locked in, ensuring our on-the-ground hospitality experts are scheduled and ready to welcome your attendees with confidence (and a smile), without rush fees or last-minute scrambling.

1 month out

  • We lock in our local operations and transportation wizards
  • Additional deposits made for arrivals/departures (if needed)
  • Large print and graphics approved for banners, bars, and registration booths
  • Diagrams and layouts approved
  • Final counts for activities and tours due

Why it matters: Our local ops team lives and breathes this destination. They’re the boots on the ground who make sure your manifest doesn’t turn into a mess.

2 weeks out

  • Final counts for meals, seating charts, and dietary needs
  • Final agendas due
  • Your SOS sent (that’s our internal doc, not a cry for help)
  • Transportation manifest should be nearly complete

Why it matters: Last-minute dietary info = cranky caterers. Last-minute agenda changes can throw off deliveries and timelines. Share updates early and we can adjust menus, timing, and vendor flow; this keeps everyone well-fed, on schedule, and smiling.

1 week out

  • Internal meeting to reconfirm every detail
  • Vendors reconfirmed, signage printed, schedule dialed
  • Final walk-through with client
  • Check out the weather forecast to begin any preliminary discussions on adjustments

Why it matters: This is where we catch the things that could go wrong, before they do.

Pre-con

  • Onsite pre-con with you and your hotel
  • Final hotel walkthrough
  • Recheck weather and backup spaces

Why it matters: Mother Nature is not on your payroll. Let’s have a rain plan that doesn’t feel like a downgrade.

Event day(s)

  • We’re there. We’re checking in. We’re working it.
  • You look calm, collected, and genius-level prepared

Why it matters: Your event runs like clockwork, and your attendees think you’re a magician. (We know the trick—it’s prep.)

Post-con

  • Feedback survey sent
  • Debrief and post-con meeting
  • Final invoice

Why it matters: You’ll need this data to show wins, justify budget, and, let’s be honest, remind your stakeholders just how much you handled. Then we’ll dream up what’s next!

Bottom line: time isn’t a luxury. It’s a strategy.

Sure, we can jump in last-minute. We’ve done it, we’ll keep doing it, and we’ll still deliver something solid. But the truth? With the right timeline, we (and you) can deliver something exceptional. The kind of event that gets talked about, not just recapped.

And honestly, it’s better for everyone. Your team isn’t scrambling. Our vendors have bandwidth. The program has room to breathe and shine. And you get to sleep a little better knowing it’s all under control.
