Designing Events Through a DEI Lens

You’ve probably heard DEI mentioned more times than you can count. Diversity. Equity. Inclusion. But beyond being an acronym, DEI is about something far more human: creating environments where people feel seen, respected, and welcomed—wherever they show up.

At work, strong DEI practices lead to happier, more engaged teams. At events, they shape how guests experience everything from arrival to farewell. And it starts long before doors open—with the partners and venues you choose.

Why Venue Choice Matters

Your venue sets the tone. It communicates who the event is for, how thoughtfully it was designed, and whether every guest truly belongs. A DEI-forward venue doesn’t just meet minimum requirements—it actively supports inclusive experiences.

Accessibility is foundational. That means more than ramps. Clear signage, elevators, accessible restrooms, parking, and intuitive layouts all help guests move through the space with ease. Our teams always flag these elements early, so nothing is left to chance.

Cultural awareness is just as important. Inclusive venues consider diverse needs, from prayer rooms and gender-neutral restrooms to multilingual signage and thoughtful dietary accommodations. Asking the right questions during a site visit helps ensure the space can support your audience—not just in theory, but in practice.

Representation also plays a role. A venue’s leadership, staff makeup, and publicly stated values often reflect how inclusion shows up day to day. When a venue prioritizes DEI internally, it naturally creates a more welcoming environment for guests.

Safety, Policies, and Preparedness

True inclusion requires psychological and physical safety. Venues should have clear anti-discrimination policies, well-defined response plans, and trained staff who know how to act if issues arise. While no one hopes for challenges, preparation makes all the difference if they do.

We also look closely at a venue’s broader ecosystem. Partnerships with local, diverse, and minority-owned vendors not only support equity but often bring fresh perspectives and creativity into the program. Thoughtful sourcing strengthens both the experience and the community hosting it.

Turning DEI Intentions Into Action

DEI doesn’t stop once a venue is selected. It should carry through every element of the event.

Speaker lineups are a powerful place to start. Diverse voices and lived experiences create richer conversations and more meaningful takeaways. Language matters too—using inclusive terminology, offering pronouns, and ensuring materials are accessible all contribute to an environment of respect.

Accessibility should be layered in thoughtfully. Whether that means captioning, interpreters, assistive listening devices, or sensory-friendly options, small adjustments can have a big impact on how welcome guests feel.

Connection is another opportunity. Intentionally designed networking moments help bridge gaps across cultures, roles, and languages—rather than leaving meaningful interaction to chance.

And finally, listening matters. Creating channels for feedback during and after the event gives attendees a voice and helps planners continue improving how inclusion shows up in real time.

Designing With Intention

Inclusive events don’t happen by accident. They’re the result of intentional choices, thoughtful partners, and a commitment to creating experiences where everyone can fully participate.

At Cohera, we believe DEI isn’t a box to check—it’s a mindset that shapes better events, stronger connections, and more meaningful experiences from start to finish.
