How Cohera produced two back-to-back receptions for 1,100 guests in Orlando, delivering a flavorful Food and Wine Festival one night and a relaxed lakeside celebration the next. The goal was simple: create two experiences unlike anything the group had seen before.

The Moment

You step onto the lawn and see bright pops of color, warm uplighting, and hot air balloons floating above the space like whimsical sculptures. Guests begin to gather, taking in an atmosphere that feels playful and refined at the same time.

By the next night, everything shifts. Lanterns glow, rustic wood details line the space, and the setting feels relaxed and lakeside, as if the entire program has moved to a quiet corner of Florida.

The Challenge

Our client asked us to produce two back-to-back receptions for a group of 1,100 guests who had experienced countless events together. The goal was to create something fresh for Night One and then deliver a completely different atmosphere the very next evening.

Each night needed its own identity. Night One called for an immersive Food and Wine Festival. Night Two required a shift into a relaxed, lakeside setting inspired by the feel of “summer on the lake.”

Our challenge? Developing two concepts that looked nothing alike while still feeling connected to the destination.

Both receptions demanded significant vendor coordination, thoughtful layout planning, and design elements that transformed the space quickly and cleanly.

With only one night between events, every detail had to be planned with precision.

The Strategy

For Night One, our team leaned into color, movement, and bold visual storytelling. Large hot air balloons and their miniature counterparts were placed throughout the space, offering a playful but refined focal point. Bright florals, luxurious linens, and soft uplighting helped shape the elevated festival atmosphere.

To keep guests engaged, we incorporated activations such as a stationary wine bicycle, on-site sommelier, and repurposed wine barrels that reinforced the vineyard concept. The tone was upbeat, social, and designed to start conversations.

Night Two transitioned into a lakeside-inspired setting that felt completely different. Rustic wood, rich colors, and natural textures formed the foundation. Custom installations, including a giant tree bar, dinghy boat bars, and a dock-style entrance, created an environment that felt relaxed and familiar.

Oversized lanterns, wildflower centerpieces, and canvas palms tied the theme together. Two VW buses served as photobooths and beer tap stations, giving guests a fun way to interact with the space.

Across both nights, we aligned ten vendors and managed each transition with care, ensuring both events felt distinct yet cohesive.
