Stop wandering. Start working IMEX.
IMEX America is big. Your time is precious. Make every meeting count with tips for smarter planning, meaningful connections, and a little room for the unexpected.
If you’ve attended IMEX America, you know the show floor is a lot. A lot of people, a lot of appointments, and a lot of miles on your shoes.
After attending since the show began, one thing is clear: you can’t expect the right connections to find you. IMEX is an appointment-driven tradeshow, and the planners who get the most out of it arrive with a strategy.
Before you pack your comfortable shoes and head to Las Vegas, here’s how to make every minute count.
How should meeting planners prepare for IMEX America?
The best IMEX strategy starts before you arrive. Know who you want to meet, why those conversations matter, and how to make them happen.
Book your Priorities First
Your diary is one of your most valuable tools at IMEX. Identify the hotels, DMCs, destinations, and suppliers that align with your current business needs, then schedule appointments with those priority contacts before the show.
Don’t fill your calendar just to fill it. A packed schedule means little if you’re not meeting the right people.
Remember that exhibitors have busy schedules, too. Between appointments, hosted events, and evening receptions, your key contacts may have little time for drop-ins. If a relationship matters, get it on the calendar.
Map Your Route, Not Just Your Meetings
The show floor is massive, and getting between appointments can take longer than expected. Review the floor plan before you travel, locate your appointments, and plan an efficient route between them.
Then zoom out. Your schedule includes more than the tradeshow floor. Breakfasts, lunches, receptions, hotel events, and other commitments all compete for your time. Plan around the full IMEX experience, not just your diary.
How Can You Make Every IMEX Appointment Count?
Not every conversation deserves the same amount of time. Prioritize the relationships that matter most, and look for opportunities to connect beyond your scheduled meetings.
Put Your Priorities First
If a key hotel or destination is hosting an evening event you’re already attending, that may be the perfect opportunity to connect with its team. Use your appointment slots to meet other priority contacts who won’t be as accessible elsewhere.
The goal isn’t to squeeze in the most meetings. It’s to make your schedule work harder.
And leave breathing room. A 30-minute appointment rarely means 30 uninterrupted minutes of conversation. You’ll walk farther than expected, run into familiar faces, and inevitably stop for a quick hello.
Build in travel time, schedule breaks, and wear shoes that can handle the miles. Your feet will thank you.
Use Open Windows Wisely
Have an unexpected gap in your schedule? Use it to connect with a priority contact you’ve missed, or stop by a booth you’ve been meaning to visit.
Just be mindful of the other person’s time. A quick introduction can open the door to a more substantial conversation later.
How Can You Have More Meaningful Conversations With Exhibitors?
You and your exhibitors have limited time, and everyone has probably answered “How was your flight?” more times than they can count.
Let’s get to the good stuff.
Skip the Script. Ask Better Questions.
Arrive with a clear idea of what you want to learn. Instead of spending precious minutes on familiar small talk, explain what you’re working on, share the challenges you’re trying to solve, and ask targeted questions about how a supplier or destination can help.
You don’t need another sales pitch. You need a useful conversation that moves your work forward.
And don’t collect information just for the sake of collecting it. Focus on what you’ll actually use. You can leave the stack of brochures behind.
Follow Up While the Conversation Is Fresh
With six to eight appointments a day, plus evening events, even great conversations can blur together.
Make a few notes after each meeting about what you discussed, any next steps, and the details you want to remember. Then follow up the following week with a personalized message that picks up where you left off.
A thoughtful follow-up turns a promising introduction into the beginning of a relationship.
What IMEX America Mistakes Should Planners Avoid?
The biggest mistake is assuming you’ll figure everything out once you arrive.
Don’t Wing It, or Overbook It
Without a plan, you risk missing key contacts, wasting time crossing the show floor, or discovering that the person you hoped to meet is booked solid.
But the opposite can be just as counterproductive. Packing every minute with appointments leaves no room for travel, unexpected conversations, or an actual break.
You don’t need to meet everyone. You need to meet the right people and make those conversations count.
The Bottom Line: Work Your IMEX Strategy
IMEX America rewards preparation, prioritization, and a little flexibility.
- Plan ahead: Book priority appointments and map your route before arriving.
- Protect your time: Account for travel, meals, and events beyond the show floor.
- Ask better questions: Focus conversations on your business needs and the solutions you’re looking for.
- Follow up: Turn promising introductions into meaningful relationships.
- Stay flexible: Leave room for the unexpected, because not every valuable connection comes with a calendar invite.
IMEX America is too big, and your time is too valuable, to leave it all to chance.
Have a plan, work the plan, and stay curious enough to see where a great conversation takes you.
