Get Prepped, Not Stressed!

Preparation sets the stage for a successful site visit. Pre-site visit calls with the client are essential to tailor the experience to their needs. But it’s not just about the client-facing prep; we rally the whole squad behind the scenes too. A city tour might be beneficial if it’s their first time in the destination. If they have a concrete program schedule, focus on specific elements like off-site venues or hotel walk-throughs. The goal is to create an experience that aligns with your attendees’ values and interests.

Put Your Attendee Glasses On

The core of any site inspection should be viewing everything from an attendee’s perspective, which means engaging all the senses. What will attendees touch, feel, smell, and taste during the program? How does the linen feel? What does the specialty cocktail taste like? What do they see first when they get off the motorcoach? Every sensory detail matters and makes an impact when planning a truly engaging program. 

Although you may have covered a lot in calls before the site visit, it’s crucial to review important attendee-centric details again:

  • Access to Bars and Food Stations: No one likes long waits. Ensure bars and food stations are easily accessible, and the kitchen is close enough for quick replenishment.
  • ADA Accessibility: Check elevators and pathways to ensure everyone can navigate the venue comfortably.
  • Dress Code and Footwear: Recommend appropriate attire. High-heeled pumps on the beach are never a good idea!
  • Vehicle and Motorcoach Access: Ensure smooth transitions from the entrance to the venue so guests can easily get in and out.
  • Weather Backup Plan: Always prepare for the elements with a solid backup plan.
  • Guest Flow: Assess how guests will move through the space. Create areas where they can naturally spread out and enjoy the event.
  • Privacy: Determine if parts of the venue are accessible to the public and how this fits the client’s needs, especially for the industries that require more discretion.

Make it Memorable

Turning site inspections into engaging and fun experiences is key to giving decision-makers a preview of the fun to come. Infuse local culture and unique venue features to provide clients with a sneak peek of what attendees will experience. Amp up the branding to help clients visualize the event. For example, providing food and beverage enhancements with branding, covering a wall with their logo, or bringing in branded decor elements can offer a realistic event preview. Every aspect should scream, “This event is all about your company, brand, and attendees!”

Efficiency is Everything

Nailing the balance between being thorough and staying on schedule is essential for a productive site inspection. Here’s how to rock it:

  • Stick to the plan: Create and stick to a detailed itinerary. If something throws a wrench in your schedule, adjust without disrupting the client’s experience.
  • Backup, Always: Be ready with a plan B (or C) for those curveballs like traffic jams or venue changes.
  • Keep It Real: Be upfront about potential snags and offer savvy alternatives. This is all about building trust and showing your dedication to executing an epic event.

A Friendly Follow-up

Follow-up is just as crucial as prep work. Send a thank-you to the client, hotel, and venues, and outline any deliverables and next steps. Thoughtful follow-through keeps the momentum going and shows your dedication to making the event successful. Keep the planning process on track and leave your clients confident and excited about what’s next!
