Medical Conference Makeover in Dallas
How Cohera reimagined sponsor visibility, redesigned a full ballroom footprint, and enhanced the guest experience across a multiday education summit in the heart of Dallas.
The Challenge
The client needed to keep eighteen — yes, eighteen — event sponsors happy, highly visible, and strategically highlighted throughout the summit. At the same time, the ballroom had to host multiple events that each required a different atmosphere, flow, and focal point.
The challenge was designing one space that could reinvent itself repeatedly while still feeling cohesive. The room needed warmth, personality, and visual separation without requiring a full venue change.
With fall as the thematic anchor, the design needed to balance seasonal elements with a polished corporate tone that would appeal to education professionals and sponsors alike.
The Strategy
To create a more intimate reception space, we installed a one hundred eight foot long wall that broke up the ballroom and allowed the welcome event to feel cozy and contained. It doubled as a branded backdrop for sponsor visibility, giving the program’s partners a prime moment in the spotlight.
Decor choices centered on fall-inspired textures and color. Rust and orange linens added warmth, while gold-painted tree stump side tables and seasonal centerpieces brought in subtle harvest details.
Apples, pears, and oranges tied the palette together and quickly became one of the most talked-about design touches of the night.
Our dining and hospitality teams aligned the room layout, flow, and service timing across all four programmed events. This ensured each activation within the ballroom felt distinct while maintaining a consistent guest experience from day to day.
Entertainment and vendor partners were coordinated with care so that every transition felt smooth and every sponsor placement remained intentional.
